Privacy Statement

This Privacy Statement (PS) sets out the approach which YourAid (YourAid, 'we', 'our' or 'us' and where applicable shall include BLCP) will take in relation to the handling of Personal Information. It includes information on how YourAid collects, holds, uses and discloses Personal Information and the steps we take to protect that information. It also covers how you may access and seek the correction of the Personal Information that YourAid collects and holds about you. YourAid respects the privacy of its supporters and others with whom we deal, and is committed to handling the Personal Information you provide us.

This PS set out standards, rights and obligations for the handling, holding, use, accessing and correction of personal information (including ‘sensitive information’) by YourAid.

Definitions

Personal information
‘Personal information’, is any information or opinion that can identify or be used to identify an individual. YourAid may collect and hold personal information from our donors, supporters, volunteers, contractors, visitors to our field programs, and other individuals.

Sensitive information
We may collect health or other sensitive information, such as information about an individual’s general health. We may share health or other sensitive information with our partners and suppliers and they may also share with YourAid health or other sensitive information they have collected. By providing health or other sensitive information to us, an individual consents to us collecting this information and using and disclosing it for the purposes set out in this PS.

Cookies
When an individual visits or uses a website of YourAid, personal information may be collected automatically through cookies including: IP address and/or domain name; operating system (type of browser and platform); and the date, time and length of the visit to the website. This information primarily is used for the compilation of statistical information about the use of the website. Cookies may also be used to assist YourAid and our third party service providers present targeted and customised advertising to an individual on our website and/or on third party websites.

Collection of personal information

YourAid will collect Personal Information where the information is reasonably necessary for one or more of our functions or activities or where the collection of information is otherwise permitted by law.

YourAid will collect Personal Information from you when you contact us, make an inquiry, make a donation, purchase our products (if applicable), or otherwise provide us with your Personal Information. This could include when you call us, send us a letter, submit an email to us, apply for a job or as a volunteer with YourAid or subscribe to our newsletter via the website.

YourAid collects Personal Information about our supporters and sponsors (financial and non-financial) and members for the primary purpose of enabling us to maintain accurate records about who donates to us; the purpose, if specified, for which donations are made; and so that we may meet our legal obligations, such as providing donors with official receipts for their donations.

YourAid also collects and uses Personal Information for secondary purposes including:

  • Keeping our supporters informed about YourAid’s activities, campaigns and appeals

  • Keeping our supporters informed about other services, products, campaigns and appeals which may be of interest to you and offer you the opportunity to subscribe to them

  • Offering you the opportunity to participate in surveys carried out by YourAid or its agents.

We may ask for other information to enable us to better understand who our supporters and others who deal with us are, but the provision of that information is purely voluntary.

YourAid will endeavour not to collect Sensitive Information from individuals except with express consent from the individual and only where it is necessary for YourAid to collect such information for an activity or function.

If you are under 18 years of age, you should obtain your parents'/guardians' permission beforehand whenever you provide Personal Information.

If you choose not to provide personal information that YourAid request, we may not be able to communicate with you, issue a tax receipt, process donations or provide you with opportunities to participate in surveys carried out by YourAid or its agents. By providing your personal information to us, you confirm that you have agreed to us collecting, holding, using and disclosing your personal information in accordance with this PS

Use of Personal Information

YourAid collects, holds, uses and discloses Personal Information about individuals for the following purposes:

  • processing donations and maintaining accurate records about who donates to us;

  • assessing the purpose, if specified, for which donations are made;

  • meeting our legal obligations, such as providing donors with official receipts for their donations;

  • keeping our supporters informed about YourAid's activities, campaigns and appeals;

  • keeping our supporters informed about other services, products, campaigns and appeals and offering the opportunity to subscribe to them;

  • conducting surveys carried out by YourAid or its agents;

  • developing and managing relationships with our employees and contractors and business partners.

  • administration of volunteer work; and

  • compliance with our legal obligations.

  • YourAid may sometimes disclose names and addresses to third parties for the purpose of allowing them to market their products and services. Such disclosure will be subject to your express consent. Individuals are given the opportunity to opt out of such communications and can contact YourAid for further details.

YourAid does not sell Personal Information.

YourAid may disclose Personal Information to unrelated third parties to enable outsourcing of functions (including cloud service providers or third-party contractors for processing, storage and support). Where this occurs, YourAid takes reasonable steps to ensure that all Personal Information is handled and protected, preferably as part of the services contract. Examples of such functions include mailing services both postal and email, answering questions about activities and programs, fraud prevention services, data analysis to group demographic attributes of supporters and processing of credit card payments.

On occasion YourAid may use or disclose your Personal Information for the purposes of direct marketing and this will be done in accordance with applicable laws You may opt-out from receiving direct marketing communications at any time. Sometimes YourAid extracts information from our collected records to produce aggregated data. This aggregated data does not identify individuals and therefore does not contain personal information. YourAid uses the aggregated data for research purposes and may share the data with third parties.

Security of personal information

YourAid will take such steps as are reasonable in the circumstances to protect the personal information that it holds from misuse, interference, loss and from unauthorised access, modification or disclosure. We will take reasonable steps to ensure that hard-copy and electronic records containing Personal Information are transmitted, stored and processed securely. This includes having internal procedures that require that records containing Personal Information are only accessible by people within YourAid who have a genuine “need to know”.

No data transmission over the internet can be guaranteed to be 100% secure. As a result, while we strive to protect your Personal Information, YourAid cannot ensure or warrant the security of any information you transmit to us over the internet, and you do so at your own risk. Once we receive your transmission, we make reasonable efforts to try to ensure its security both on our systems and while in transit between our systems and the systems of the companies who provide us with various services.

YourAid will take such steps as are reasonable in the circumstances to delete, destroy or de-identify Personal Information should YourAid no longer need the information for any purpose which is permitted.

Access or correction to your personal information

Subject to any exceptions under any law that we operate under, you have a right to request access to your Personal Information held by YourAid and to request the correction of such information. Any costs, if any, incurred in undertaking such a request shall be borne by the party making such a request.

If YourAid accepts a request for a correction, YourAid will correct its records containing Personal Information within a reasonable period of time after the request of the individual is received. YourAid will endeavor to correct any information that is inaccurate, outdated, incomplete, irrelevant or misleading and will advise any third parties we have disclosed the information to about the amended provided it is reasonably practicable to do so.

Anonymity

Individuals may request to deal with YourAid anonymously or through a pseudonym. YourAid will accommodate your request if it is lawful, possible and practical to do so.

Online Donations

Donations made online via YourAid are processed in real time using a secure payment gateway. Donations are processed in Australia (and for all other countries) in Australian Dollars. If you make a purchase or donation through our website, we process your credit/debit card details securely over the Internet using an accredited internet payment security system. With the combination of SSL encryption on our website and a secure browser at your end, we take reasonable measures to ensure that your credit/debit card and Personal Information are protected when you donate online. We also recommend that you take appropriate security precautions when accessing the internet via public Wi-Fi networks or shared computers. Job Applicants

When YourAid receives an application for volunteer or employment, personal information that was included in the application may be collected, such as your contact details, career history, education details, eligibility to work in anywhere we or our partner has operations, written references and other career-related information. This may also include sensitive information, such as medical information or criminal history.

Personal information may also be obtained from third parties:

  1. personal information through a recruitment service provider;

  2. prior employment history from previous employers or nominated referees;

  3. criminal record history, by way of a criminal history check;

  4. eligibility to work or volunteer, by way of a visa status check; and

  5. educational qualifications, by way of requesting confirmation of qualifications or results from an academic institution.

If personal information is obtained from third parties, reasonable and practicable steps will be taken, at or before the time of collection (or as soon as practicable after collection) to notify an individual, or otherwise to ensure awareness of the collection of personal information.

Personal information may be collected during the engagement or recruitment process for the purpose of assessing and progressing an application, inviting applicants to apply for future positions of interest at YourAid and conducting statistical reporting and analysis in relation to the recruitment processes. Your personal information for future job opportunities may be held, unless specifically requested to be deleted.

By applying for a job and providing your personal information, an individual is providing consent to collect personal information, using and disclosing it for the purposes set out in this PS. This may include disclosing your personal information to referees and also to other third parties that we use to help with the engagement or recruitment process. Personal information may also be disclosed to law enforcement agencies to verify whether an individual has a criminal record.

Privacy data breach obligations

Please contact YourAid if you become aware of any breach of security. If reasonable grounds establish there has been a personal information security breach, we will comply with all our obligations and responsibilities under all relevant privacy laws including in Australia, including any obligation to notify you of any security breach and take effective remedial action to protect your personal information.

Privacy Obligations

Where personal information is obtained from individuals for the purpose of YourAid complying with Australian law relating to counter-terrorism, it should be collected, used, disclosed and stored in a manner which is consistent with YourAid’s obligations under the applicable law.
